CRM timeline synchronization
This guide explains what Salescaling writes to your CRM timeline after processing a call or meeting, and how to control that volume without disconnecting the integration.
It applies to all supported CRMs: HubSpot, Salesforce, Zoho, Pipedrive, and Membrain.
1. What is written to the CRM for each call or meeting?
When a conversation is processed successfully, Salescaling can create two distinct types of activity on the timeline of associated records (contacts, companies, and deals):

Consolidation of Smart Categories
Smart Categories do not generate one note per clip. All clips from the same call or meeting are grouped into a single note in the CRM, organized by sections (one per category). Each section includes the clip content and a direct link to Salescaling.
This means that, with the default configuration, each processed call adds at least two entries to the timeline: the summary and the consolidated note of clips.
Why can the timeline become cluttered?
The volume in the CRM grows due to the combination of:
- Two activities per call (summary + clips note).
- Multiple calls associated with the same contact or deal over time.
- Cascading associations: the same activity can appear on the timeline of the related contact, company, and deal.
A deal with many calls can accumulate dozens of Salescaling entries even if each call only generates two activities.
2. Configuring what is synchronized to the CRM
You can control what is written to the timeline without disconnecting the CRM and without losing the ability to read contacts, companies, deals, or custom fields.
Accessing settings
- Go to Settings > Integrations.
- In the CRM section, locate your connected CRM.
- Click the settings icon (gear) on the card.
- In the modal, open the Timeline sync section.
From the same modal, you can also manage custom field mapping and, in the case of Membrain, specific default values for that integration.
Available options

Both options are enabled by default for new or existing integrations that have not modified this configuration.
Data reading: always intact
Disabling one or both options only affects what Salescaling writes to the timeline. The integration continues to:
- Read contacts, companies, and deals from the CRM.
- Resolve automatic associations in Salescaling.
- Synchronize custom fields configured in the mapping.
It is not necessary to disconnect the CRM to stop writing notes or summaries.
3. Recommended scenarios
Reduce noise while maintaining value for the sales rep
Recommended for teams with high call volume:
- Disable Sync smart category notes.
- Keep Sync meeting summary active.
Result: one entry per call (summary only), with a link to the recording and essential context. Clips remain available within Salescaling.
Stop writing to the timeline completely
If the CRM timeline must be free of automatic Salescaling entries:
- Disable Sync meeting summary.
- Disable Sync smart category notes.
- Keep the CRM connected.
Salescaling will continue reading data from the CRM to operate calls and associations.
Reduce clips without touching the CRM integration
If you want to keep some notes in the CRM but with less content:
- Go to Settings > Activity Types.
- Edit the call activity types.
- Remove the Smart Categories that do not provide value to the sales rep or keep only the essential ones (e.g., "Next steps" or "Objections").
Fewer active categories mean fewer detected clips and, therefore, a shorter consolidated note.
4. Current limitations
- Summary and clips are separate activities: currently, it is not possible to merge the summary and Smart Category clips into a single CRM entry. They are two distinct objects by design.
- Historical entries are not deleted: when changing the configuration, only new activities stop being created. Notes and summaries already written to the CRM remain.
- Clip generation in Salescaling is independent: disabling note synchronization to the CRM does not prevent the AI from continuing to generate clips within the platform; it only prevents them from being written to the CRM.
5. Frequently Asked Questions (FAQ)
Is disconnecting HubSpot (or my CRM) the right way to stop creating notes?
No. Disconnecting the integration also removes the reading of contacts, companies, deals, and fields, which Salescaling needs to associate calls and enrich sales context.
Use the Timeline sync toggles in the connected CRM settings.
Can I have a single note per call with all the content (summary + clips)?
Salescaling already consolidates all clips from a call into a single note grouped by Smart Category. The call summary, however, is written as a separate activity.
If you need to minimize entries on the timeline, disable Smart Category notes and keep only the summary (one entry per call).
What happens to the notes that are already in my CRM?
They are not automatically deleted. The new configuration applies only to calls and meetings processed from that moment on.
Does this configuration apply only to HubSpot?
No. The Timeline sync controls are available for all supported CRMs: HubSpot, Salesforce, Zoho, Pipedrive, and Membrain.
I have disabled Smart Category notes, but I still see clips in Salescaling. Is this normal?
Yes. Clips are generated within Salescaling based on your Smart Categories and activity types. Disabling synchronization to the CRM only prevents those clips from being written as notes on the CRM timeline.
