Hubspot
Connect HubSpot CRM with Salescaling to automatically sync contacts, deals, and enrich sales data after every meeting.
Hubspot
The integration with Hubspot CRM establishes a bidirectional connection between the conversations analyzed in Salescaling and your customer database, enabling an automated flow of information that enriches both systems.
1. Connection Process
To activate the functionality, you must authorize Salescaling to interact with your Hubspot account.
Steps to Connect:
- Go to the Settings > Integrations section.
- In the CRM section, locate the Hubspot card and click Connect.
- The system will redirect you to the Hubspot authentication page, where you must log in and authorize the connection.
2. Required Permissions in Hubspot
The user performing the connection must have Super Admin privileges in Hubspot or, at a minimum, the necessary permissions to install and manage Marketplace applications.
During the authorization process, Salescaling will request a set of permissions (scopes) to securely interact with the different objects in your CRM. These permissions ensure that the platform can only perform the actions necessary for its operation.
Requested Permissions (Scopes):
Salescaling requests read (.read) and write (.write) permissions for the following objects and schemas in Hubspot:
- Companies
- Contacts
- Custom objects
- Deals
3. Information Flow: From Salescaling to Hubspot
The main benefit of the integration is Salescaling's ability to write data back into Hubspot. After a meeting or call is processed, Salescaling can automatically create two distinct "Activities" in the timeline of the corresponding records in Hubspot:
- Activity 1 — Meeting/Call Summary: Meeting (video call) or Call (phone) object with the conversation summary, including the AI Score, main topics discussed, agreed-upon next steps, and a link to the recording in Salescaling.
- Activity 2 — Notes by Smart Category: Note object that groups all clips from that call into a single note, organized by Smart Category. Each section includes the clip content and a direct link in Salescaling.
Timeline volume control: If the number of entries in HubSpot becomes too high, you can disable the synchronization of summaries, Smart Category notes, or both, without disconnecting the integration or losing data reading capabilities. See CRM timeline synchronization.
4. Integration Configuration
With HubSpot connected:
- Go to Settings > Integrations.
- Click the settings (gear) icon on the HubSpot card.
- In the modal, configure the Timeline sync section:
- Sync meeting summary: enable or disable the creation of summaries (Meeting/Call).
- Sync smart category notes: enable or disable the creation of consolidated notes with clips.
- In the same window, you can manage custom field mapping.
Disabling these options does not affect the reading of contacts, companies, deals, or CRM fields.
5. Information Flow: From Hubspot to Salescaling
In turn, Salescaling uses read permissions to power the Associations functionality. The platform reads your CRM data to identify participants and link each recording with the correct Contacts, Companies, and Deals records, providing complete sales context without leaving Salescaling.
6. Automatic Cascading Associations
Salescaling implements an intelligent cascading association system that ensures meetings are automatically linked to all related records in HubSpot:
How Cascading Associations Work:
-
Contact → Company + Deal: When a meeting is associated with a contact, it is also automatically linked to:
- All companies associated with that contact
- All deals associated with that contact
-
Company → Deal: When a meeting is associated with a company, it is also automatically linked to:
- All deals associated with that company
7. Benefits of Full Integration
- Complete Sales Context: Each meeting is automatically associated with all related records
- Automatic Synchronization: No need to manually link every association
- Data Consistency: Information remains synchronized between HubSpot and Salescaling
- Enriched Analysis: Metrics and analysis include the full context of sales relationships
