Teams and Users
The Teams and Users module is the administrator's control center for managing the organization's internal structure on the platform.
From here, you can perform essential personnel management tasks, such as adding, editing, and removing users, as well as assigning them the appropriate roles and permissions for their function.
1. Active Users Tab
This tab displays a list of all users who are part of your organization in Salescaling. At a glance, you can check the user's Name, Email, assigned Role, and the Team they belong to.
2. Invitations Tab
In this section, you can track all invitations sent to new users to join the platform. It shows the invitee's Email, the assigned Role, and the Invitation Expiration Date.
Role Management
Roles for each user are managed from this screen. Salescaling has several permission levels to suit your team's needs.

Automatic access to meetings and calls by teams
Teams do not just organize users: they also determine who can automatically see their colleagues' meetings and calls, without the need to share each recording manually.
How it works
When a user participates in a meeting or call (i.e., they are part of it as an internal user of the organization), Salescaling propagates viewing access to all members of their teams.
Example:
- User A records ten meetings in which they participate.
- User B belongs to the same team as User A.
- User B can view those ten meetings without User A having to share them one by one.
- If User A records a new meeting tomorrow in which they participate, User B will also have automatic access, provided they are still on the same team and the meeting is not private.
The key condition is membership in the same team: it is not enough to be in the same organization; A and B must share at least one team.
Which meetings are shared automatically
Team-based access applies to meetings and calls where:
- A team member participates as an internal user.
- The meeting or call is not marked as private.
- The meeting or call does not trigger any privacy rules configured in the organization.
Only meetings where the participant has legitimate access are propagated. The system does not expose content that the participant did not have access to.
Past and future meetings
- Future meetings: as soon as a new meeting with a team participant is processed, the rest of the members automatically receive access.
- Past meetings: when a user joins a team, Salescaling synchronizes access to their new teammates' historical meetings in the background (provided they are not private). This process may take a few minutes in organizations with a large history.
Private meetings: absolute exception
A meeting is private when:
- It is manually marked as private, or
- It meets any active privacy rule (external participant, keyword in the title, specific person, activity type, etc.).
In private meetings, only direct participants and organization owners have access. Team members do not receive automatic access, even if they share a team with the person who recorded the meeting.

To share content with people outside the team or with specific permissions (Owner/Viewer), use the manual sharing feature.
Visibility by role
Users with the Regular or Read Only role only see:
- Meetings in which they participate directly, and
- Meetings of their team members (automatic access described above).
Admin and Owner roles can see all meetings in the organization, regardless of the team.

Team management
Only users with the Admin or Owner role can:
- Create and delete teams
- Add or remove team members
- Edit team details
When a user leaves a team, they lose automatic access to meetings they only had access to by belonging to that team. Meetings in which they participate directly are not affected.
Verifying access
Administrators can use the Access Tester (available in Meeting Settings and Call Settings) to check if a user has access to a meeting and if that access comes from the team (Has team access). See the Privacy Rules guide for more details.
